On Monday, April 12, the DocsVision record keeping system used by the Ministry of the Interior and the Information Center of the Ministry of the Interior (IeM IC) was replaced by the document management system “NAMEJS” developed in Latvia and currently used by the Ministry of Defense, service.
“With the introduction of the new record-keeping system, we have ensured that employees of the Ministry of the Interior and subordinate institutions will not spend time physically carrying and endorsing paper documents. Now the flow of documents will be simpler, faster and more convenient - we have a modern digital platform, which allows us to save not only time, but also the state budget. Everyone's time is a value, and by saving time we can do much more and better! ” Minister of the Interior S. Ģirģens.
The existing document management system “DocsVision” has ensured the document circulation process in the institutions subordinated to the Ministry of the Interior since 2005. During this time, the document circulation process has changed significantly - the number of documents to be processed has increased rapidly, security requirements have increased, user habits and requirements have changed. The Ministry of the Interior, taking into account the possible risks and threats, deciding on the protection of information and communication technologies, as well as staff convenience and smoother daily work, decided to introduce a new document management system - a modern and secure solution already used by several institutions in Latvia.
Another important advantage - the document management system "NAMEJS" has a mobile version, which significantly improves the use of the system.
The implementation of the new document management system in the institutions subordinated to the Ministry of the Interior (except for the MoI IC) will take place by the 2nd quarter of 2022. The new document management system will gradually replace the existing one, however, during the transition period, the document management systems "NAMEJS" and "DocsVision" will work in parallel. In institutions where the new document management system will already be in place, the sending, receiving, reconciling and other functions of the existing system will be disabled. DocsVision will be available to all users as an archive of documents - until the expiration date of the last document in it.
